Office Manager Nordics to Triton Advisers, Stockholm office

As Office Manager you organise and deliver office and facilities services to ensure a seamless day-to-day operation of the offices and Stockholm Reception. You act as first point of contact for all office suppliers, building management and employees and effectively collaborate with the Workplace & Administrative team to provide an integrated and professional service.
The focus areas of responsibilities are facilities and office management. Prioritised responsibilities include but are not limited to:
Ensure smooth operation of meeting area and guest experience, maintaining high company standards at all time as well as overseeing day to day office presentation including kitchens and open plan areas
Manage the local Reception team and ad hoc back up when required
Manage all facilities, maintenance and repairs and being primary contact with building management and landlord
Management of all office suppliers, negotiation of key office contracts, office related budget monitoring as well as negotiation and overseeing local contracts, i.e., hotel, gym etc.
Active management of office space, seating plans and resources, monitoring office security and local health & safety practices, etc.
Oversee local office events, gifts and celebrations
Remotely manage satellite offices in Oslo, Helsinki and Copenhagen.
Proactively collaborate with HR, IT Service Desk and Assistants, help to channel and manage business demands accordingly as well as closely align with peers in Triton offices to drive improvements to standards and processes
We believe you have a minimum 3 years of office/facilities management experience and a proven record of working in a professional environment, office management with individual responsibilities and desired experience of managing people and office refurbishment projects.
Skills and Personal Attributes
To undertake the position as Office Manager we believe you have outstanding organizational ability, ability to juggle multiple tasks concurrently and seamlessly, a can-do attitude and ability to successfully deal with and manage change.
You are technically savvy and used to work with varied digital communication tools and have strong MS Office 365 skills. Our business language is English, any other Scandinavian language would be preferred.
